Job Description

Responsible for providing support and coordination to the Corporate Services Business Group.
 
Responsibilities
•    Provision of support to Chief Corporate and Sustainability Officer (CCSO), and to colleagues within the Department (together with other Confidential Secretaries). 
•    Planning, managing and maintaining filing system and document database
•    Support department reporting and tracking of department objectives. 
•    Opening, sorting and distributing correspondence and routing them to appropriate personnel in a timely and efficient manner. 
•    Manage and maintain CCSO and a senior lawyer’s schedules, appointments, including assistance with bookings and logistics for meetings.
•    Document formatting and proof-reading. 
•    Preparation of necessary reports and presentation slides for stakeholders. 
•    Working across business unit to consolidate status updates and information. 
•    Develop and utilize historical information, retrieve information, record meeting discussions and provide minutes. 
•    Invoice processing, filing and issuance of payments 
•    Procurement / Requisition activities for Department’s needs 
•    Provision of internal budgeting/forecast requirements to Finance department on a periodic basis. 
•    Working effectively across various functions within the [Corporate Services] business group and other key stakeholders to meet budgeting / forecast exercise. 
•    Any other duties or projects assigned.

Qualifications

  • Diploma in Business Management / Administration. A Bachelor degree in Business Management or Administration/ Arts and Social Science/ Corporate Communications is an advantage.
  • Minimum 3-5 years of relevant experience
  • Prior general administration experience in a legal firm or legal department within an organisation will be an advantage 

 

 Technical Skills: 
•         Excellent planning, organizational, information gathering, multi-tasking and prioritisation abilities. 
•         Strong organisational and interpersonal communication skills
•         High proficiency with Microsoft Office software including Outlook, Word, Excel and PowerPoint
•         Strong writing skills and proficiency in English

•         A people person. 
•         Ability to work independently, discreetly and maintain a high degree of confidentiality
•         A strong focus on and attention to detail, accuracy and quality results
•         Ability to work under pressure, tight deadlines, and accommodate last minute changes.

•         A positive attitude, with good communication skills, and an ability to work effectively in a team environment
